Who we are
Mateo Properties (Pty) Ltd ("Mateo Properties", "we", "us") provides student accommodation for students at VUT and Sedibeng College. We are the responsible party for the personal information described in this notice.
What we collect
When you complete our enquiry form, we collect:
- your full name, phone number and email address;
- your university or college;
- the property and room type you're interested in, your preferred move-in date and how your studies are funded (if you tell us);
- anything you choose to write in the message field.
Please don't include ID numbers, bank details or health information in the form. If we need documents for an application, we'll ask for them separately.
If you contact us by phone or WhatsApp, we will also have your phone number and the messages you send us.
Why we collect it
We use your information only to:
- respond to your enquiry and tell you about availability, room types and lease options;
- help you apply for a room;
- keep a record of enquiries so we can follow up and improve our service.
We process this information because you've asked us to respond to you and have given your consent, and because it's needed to take steps towards a lease agreement at your request (POPIA section 11). We do not sell your information or use it for unrelated marketing.
Who we share it with
- Form service provider: enquiry form submissions are delivered to us through a third-party form service, which may store them on servers outside South Africa. We use providers that protect personal information to a standard comparable to POPIA (section 72).
- Website hosting and content providers: this website is hosted on GitHub Pages and loads fonts and icons from Google Fonts and Cloudflare (cdnjs). These providers may receive your IP address and basic browser information when you visit.
- Funders: if you go on to apply, we may share relevant details with NSFAS or your bursary provider, with your knowledge, to process your accommodation.
Our website itself does not set tracking or advertising cookies.
How long we keep it
If you don't go on to sign a lease, we keep enquiry details only for as long as we need them to deal with your enquiry, and then delete them. If you become a resident, your information is handled under your lease agreement.
How we protect it
Access to enquiries is limited to the staff who handle them. We take reasonable technical and organisational measures to prevent loss, misuse or unauthorised access.
Your rights
Under POPIA you may:
- ask whether we hold your personal information and request a copy;
- ask us to correct or delete it;
- object to us processing it, or withdraw your consent at any time;
- lodge a complaint with the Information Regulator (South Africa): inforegulator.org.za (opens in a new tab).
